POSITION: Customer Service Representative & Receptionist


REPORTS TO: C/S Supervisor






Summary/General Functions

  • To provide telephone coverage and assist customers as necessary in a professional manner
  • To ensure the flow of communications and paperwork through the Customer Service Department in a timely manner.
  • Operate switchboardEssential or Major Functions
  • Answer telephone calls, log requests for service, provide assistance to callers
  • Service call follow-ups
  • Provide Account Registration and Protection services, completing paperwork in a timely manner
  • Maintain telephone call logs, as well as tracking for account registrations
  • File information in CARS folders as well as distributor legal files
  • Handle office communications, including e-mail, faxes
  • Update office bulletin boards with current promotions and programs
  • Distribute office supplies
  • Lock front door and put phones in night mode (afternoon receptionist duty)
  • Unlock front door and take phones out of night mode (if covering morning duty)
  • Check voice mail every morning and forward messages
  • Meet, greet and log all visitors
  • Log all faxes, incoming mail, and packages. Notify appropriate departments. 
  • Have distributors complete paperwork for requests for computer paper and racks
  • Call for FedEx when necessary; Prepare FedEx shipments online
  • Assist with stuffing/sorting of weekly promotional mailings
  • Maintain the company phone list, editing and updating as needed.


Related Duties

  • Covering staff breaks
  • Processing account protections and sending follow-up emails to distributors
  • Assist HR and Executive Office with special projects as necessary, including distribution information, forms, memos, and general announcements
  • Assist General Office entering tickets, as necessary
  • Provide back-up for other workers in Customer Service, switchboard, and Logistics Department during vacation periods or absences
  • Deliver interoffice mail Ensure mail bags are sorted and prepared for Courier Service
  • Create and run AS400 reports, as necessary
  • Provide typing of reports/letters
  • Handle calls for the General Office in reference to distribute balances and statements
  • Assist in distributing racks and computer paper and tracking of same
  • Checking route lists and prepare written copies for route closings

Skill Requirements

  • Good telephone personality
  • Well-organized
  • Ability to work with other employees and field sales personnel
  • Knowledge of PC, particularly MS Office (Excel & Word).
  • Second language a plus.



  • Minimum: 2 years related experience
  • Preferred: 4 years related experience


Education Requirements

  • Minimum: HS Diploma or equivalent
  • Preferred: HS Diploma – College education a plus
